F.A.Q's - Vacation Rentals

Luckily there are a few homes that open up their doors for short summer stays 🙂

TIP #1:  You may get lucky booking a 3 night stay the first week of July and last week of August as these weeks tend to be less booked by vacationing families. We can help you find something!

TIP #2: Some homeowners allow short stays throughout the summer. Find these when you “Search All Rentals” by selecting “Short Summer Stays” in Rentals dropdown in the Search Rentals box.

TIP #3: If dates are available at short notice (within 1-3 weeks of arrival), some Owners may agree to short stays. Please inquire.

After Labour Day through late-June homes are available for 2 night minimums. This does not apply to holidays.

Holidays outside of High Season generally require a 3 night minimum booking, unless booking at last minute and then 2 night bookings may be considered.

Holidays include: Family Day, Easter, May long weekend, Thanksgiving.

Holidays such as Canada Day, August long weekend, Labour Day and Christmas may require a 3 night or 7 night minimum depending on the property. You can locate this info in the Note Tab on the property page, but feel free to contact us if you have any questions.

We currently have 2 suites that allow 1 night stays outside of high season, pending Owner confirmation: Flats East and Flats West in Wellington.

There is flexibility for changeover days for weekly bookings outside of summer (high season). For instance you could stay Friday to Friday when the changeover day for a property is listed in the Notes Tab as Saturday. A firm changeover only applies in summer for properties requiring a 7 night minimum.

It can vary by property, but generally speaking:

High season is Canada Day through Labour Day

Mid season is (in the Spring) from after May long weekend to before high season and (in the Fall) after Labour day to before Thanksgiving.

Quiet season is after Thanksgiving to before May long weekend. Some owners offer further discounts for Winter stays (January – March). Be sure to ask !

General check-in time is 4:00 p.m. Check-out time is 11:00 a.m.  These times vary depending on the property and the season. Times are located in the Notes tab on the property page.

Quiet / Mid Season

In quiet / mid season (early -September through late-June) there is a little more leeway and early check-in / late check-out may be arrangeddirectly with the Owner no sooner than 1 week prior to your arrival date. These times are provisional and cannot be guaranteed if other bookings are taken with dates just before or following your stay. If you wish to guarantee early in or late out, you will need to pay for an additional night.

High Season

We understand you are excited for your vacation, but between late June through Labour Day (high season) early check-in is not possible as it disrupts the housekeeping staff who are working hard to make sure the property is clean and ready for your stay.

Likewise, at check-out be sure to respect the check-out time on your Welcome Package as housekeeping needs to ensure that the property is ready for the next guests.  A good rule is to be vacated from the property 10-15 minutes prior to the check-out time. 

If you are late checking out, extra charges up to $200 late checkout charge apply at the discretion of the Owner.

Some properties charge 13% HST provincial tax. Please check the individual listings for more information.

As of January 1, 2019 a PECAA Tourist Tax of 2% applies on all bookings. This is a Destination Marketing Fee for Prince Edward County. As an active member of the Prince Edward County Accommodation Association (PECAA), Sandbanks Vacations & Tours adds an additional 2% on vacation rentals to market Prince Edward County. Please note: The fee is currently voluntary and consumers may ask to have it removed.

As of January 1, 2019 there is a non-refundable booking fee of 5.65% charged on all reservations which covers processing charges and administration. This along with the tourist tax show as “Required Fees” when you make a reservation.

A damage deposit is pre-authorized on the credit card you provide as security in the event of damages, excessive mess or when the terms or conditions of the Short-term Rental Agreement are not followed. Upon departure, you are requested to leave the property tidy and free of trash and have the furniture returned to its original place. If the property is not left in reasonable condition, or if a violation of the Short-term Rental Agreement takes place, then you will be charged a portion of the damage deposit up to the full amount.

The damage deposit is provided to Sandbanks Vacations via credit card preauthorization at the time of booking. In some cases, we will require the refundable damage deposit to by paid upfront. Fourteen (14) days after you check out, the damage deposit can no longer by processed and expires. This gives us time to resolve any claims to the satisfaction of all parties. If damage or a violation has been identified, we will notify the Renter within 72 hours, although this may take longer if your check-out falls on a Friday or Saturday. Properties are checked by Property owner teams after guest check out and before new check-in, but sometimes it takes a few days for notification to reach us.

Please make sure you are certain about your dates prior to booking. If you change your dates after a contract has been issued, there will be up to a $150 +hst administrative fee to issue a new contract and rearrange scheduling with cleaners etc. 

Linens and towels are provided at the majority of our vacation rental properties, while others expect you to bring your own. Most properties provide blankets / duvets, pillows and kitchen towels. Please check the individual property listing for detailed information about these and other amenities prior to booking. Usually this info can be found in the Notes  tab.

It is a good rule of thumb to bring your own beach / outdoor towels. Bath towels provided onsite should not be used outdoors.

There is nothing nicer than being able to invite friends and family to join you while you’re on vacation.  In most cases you are welcome to have guests during the day within reasonable limits.  You are required to ensure that your guests respect the property and neighbours. Overnight guests should be limited to a number included in your Short-term Agreement and should never exceed the maximum occupancy for each property unless arranged prior to booking. Please note the maximum occupancy guidelines in each property listing.

Most properties offer drinkable (potable) water and if not, water can be purchased at Metro, Sobeys or No Frills in Picton and Foodland IGA in Wellington. Please check the Amenities Tab on the property page.

Many cottages offer a fire pit, but not all. Prior to starting an outdoor fire, the County requires you to call the Permit Department to notify them of each and every fire planned. You will need to ensure there is no “burn ban” on and this information should be relayed when you call the Permit office.  Often you will find the permit in the guest guide book at the property or on the fridge. You will be asked to provide the permit number and fire route address (usually the 911 address).

For those who wish to bring a fire pit, you must 100% okay this with us and a fire permit must be arranged by the Owner with the Permit Department prior to your stay.

Please use care when building a fire. Never leave the fire unattended and have several buckets of water on hand prior to building the fire.

Sometimes starter wood is included. It is also often for sale along the side of the road for around $10 per bag. Make sure to bring cash or purchase at Canadian Tire, Metro and Sobeys in Picton. Check the Amenities or Notes tab on the individual listing page to find out if firewood is included.

Recycling must be sorted prior to collection and put into the correct bins onsite. Please refer to this recycling sorting guide for the latest requirements. Use the appropriate containers for recycling and garbage to avoid attracting wildlife. Instructions for garbage removal will be provided at each individual property. Please make sure to contact the Owner if any questions.

Although it has improved, reception is not guaranteed to be great at remote County locations. Check with your cell phone provider as to whether they have a tower near your rental home.

We request that you leave the cottage tidy upon departure. This means general cleanup  such as returning furniture to its original place, washing all dishes, glasses, and countertops, and removing bottles and excessive garbage etc. before leaving the property, hanging wet towels to dry etc. There should be a checkout list at the property and if you have any questions, do not hesitate to contact the Owner or Owner contact in your Welcome Package.

If linens are provided, no need to launder. Just turn down the beds that were used and the cleaners will take it from there.

Renters may be charged additional costs if the property is left in an unreasonable condition or damage is found.

This information can be found in your Welcome Package email (emailed out approximately 4 weeks prior to your arrival).  Please make sure to add to your contact list so that essential communications do not filter into your Junk Mail box.

If you have questions or concerns we encourage you to contact the Owner contact in your Welcome Package and if they have not responded within a couple hours, Sandbanks Vacations. Our emergency number can be found in the Welcome Package email for after-hours emergencies when the property owner cannot be reached or in case of emergency.

Certain properties are pet-friendly. Please ASK before bringing a pet even if just for an afternoon. Information regarding pet fees can be found in the Notes Tab on the property page.

Where properties are pet-free, we respectfully ask that no guests bring pets even for a short visit as Owners can be highly allergic. Please click here for our pet policy.

Ticks can cause lyme disease in both humans and animals. Please be sure to read our Tick Information for Prince Edward County Guests prior to visiting the County.

Most homes have Wifi now; however, there are some where there is no internet provided.

If they do provide Wifi, make sure to respect the bandwidth download limits stated in the instructions at the property as not everyone has unlimited plans. You will be liable for extra charges for excessive downloading. Contact the Owner directly if you have any questions.

Although there have been improvements made in the County over the years, rural Wifi may not be the Wifi you are used to back home. Depending on the property location and how many other guests are in the area at the same time, surfing speeds may considerably slower than what you are used to. If high speeds are important during your stay please be sure to discuss  with us prior to booking.

F.A.Q's - Tours

Prince Edward County features over 40 unique boutique wineries. Our coordinator will pick a variety of wineries for the tour to ensure a well-rounded experience. Itineraries are put together 2 – 4 weeks prior to your tour depending on your group size. Let us know if you have any special requests or preferences and we will do our best to accommodate. Requests are based on a first-come first-serve basis and are not guaranteed.

We have two 4-5 passenger Ford Flex’s, Corporate 1/2 ton Truck for 3-4 passengers, 9 and 11 passenger Ford Transit’s, a 16 Passenger Limo Bus, a 16 passenger Party Bus, and a 22 passenger Luxury Mini-Coach bus in our fleet. If we have interest from groups beyond our vehicle capacity, we have access to a number of luxury coach buses and will have one of our guides step on to give you the insider’s tour. We can NOT guarantee a specific vehicle for your group, unless you have secured a private tour.this text. All of our tours are open so it is very likely that other groups will be on the same tour as you – the more the merrier! If you prefer to be on your own, depending on vehicle and guide availability, you can request a private tour (additional fees apply).

This varies by how many guests are in your group, the size of vehicle you require, as well as the day of the week. If you are looking to have a private tour on Friday, Saturday or Sunday, the surcharge will be greater than on a week-day.  Please contact us to get an exact quote.

For groups of 6+, please contact our office by email or phone, 613-393-2424 and we will be happy to help you book a tour. For groups of 5 or less, you can book directly through our website.

For groups of 6+, we require a 30% deposit of the total tour cost to secure your booking. Groups of 5 and under are to be paid in full at the time of booking.

The final balance for your tour is due two (2) weeks prior to your scheduled tour date.

Yes. All tours are subject to 13% HST tax.

Tours cancelled two or more weeks prior to the tour date are fully refundable. Tours cancelled within two weeks of the scheduled tour date are subject to a cancellation penalty. Tours cancelled within one week of the tour date are non-refundable. Please see the tour cancellation policy in full at the bottom of your booking receipt.

Tour dates can be changed if two or more weeks notice prior to the tour date is given, without penalty.

There is no penalty to change your group size two or more weeks prior to your scheduled tour date. If the size of your group decreases within the two week period prior to your scheduled tour date, you are still responsible for the full amount outlined on the original invoice. Yes, absolutely! Please leave a review about your tour experience on Trip Advisor or our Facebook page.  We value your feedback.

Half Day tours run from  approx. 1:00 PM (dependent on location) and finish anywhere from 5:00 – 6:00 PM. For Full Day tours, expect to start your day at approx. 11:00 AM (dependent on location) and finish anywhere from 5:00 – 6:00 PM. The exact pick-up time will be sent to your via email 3 days prior to your tour.  If you do not receive this email please check your junk mail as sometimes our emails end of up there.

There is no dress code at any of the wineries.  You’re welcome to bring a snack for your group to enjoy during the tour. Bottled water is supplied.

No, guests are not permitted to consume alcohol on the tour buses under any circumstances. If alcohol is being consumed on the bus, it is up to the discretion of our tour guides to determine whether or not the tour should continue. We encourage everyone to have a great time but if any member of your group is highly intoxicated we will ask them to remain on the vehicle and if that is unacceptable the tour will not continue.

All tours are open which means other guests may be on tour with you. The more the merrier! We try to keep our tours smaller for a more intimate experience. If your group would prefer a private tour we can try to accommodate this depending on availability and a surcharge will apply.  Please email us for more info.

For tours on Saturday tours in the summer it is advisable to book at least 6-8 weeks in advance, 3+ months is advised if booking a large group. For days during the week in the summer months it is best to book a 2 – 3 weeks before. Last minute bookings are dependent on the availability of a guide.

The Travel Industry Council of Ontario (TICO) is a self-managed, not-for-profit corporation, responsible for administration and enforcement of the Ontario Travel Industry Act, 2002 and Ontario Regulation 26/05 on behalf of the Ontario government.   The legislation governs all the approximately 2,400 travel retailers and travel wholesalers registered in Ontario.  In addition, TICO administers an industry-financed Travel Compensation Fund.
